TOCIFT approached THE PRESS FACTORY with multiple issues on their long established website as well as the need for integrating a ticketing system with the capabilities of producing badges and real time ticket purchases at their yearly event.

The old tocift.org website was from a bygone era in webdesign. It was unresponsive to tablet and phone views, and they had just lost the manager of their old manual database. They were looking to upgrade to an automated registration, check-in, and badge printing system with the ability for their registrants to be able to modify ticket assignments online right up to a week before the event. They would then need to print badges to be handed out at the event. Registration managers would also be able to sell new tickets, or change existing registrations at the event and print or reprint these new badges.

They basically wanted their cake and to eat it too!

The Press Factory was able to find a WordPress theme that worked with the Event Espresso (EE4) plugin, redesign their site, and implement the Event Espresso plugin, with modifications for badge printing on the fly at their event, in five months time.

Time Management

Time management was established through weekly reports and monthly meetings. This kept us on task with action items being discussed and implemented each month.

User Testing

Site development and user testing was done using a staging site for the site design. The customer could examine progress along the way, with the understanding that the design was a fluid process and what was seen on the site initially, a theme template, would change dramatically by the end of the design process.

The registration system was tested through a PayPal Sandbox account that allowed us to purchase tickets with no actual money being exchanged. Users also had the option, with the EE4 registration, to download an invoice/receipt that could be used either for their records or to send a check to the organization instead of paying online.

Market Research

The Press Factory did market research to find the perfect fit for tocift.org’s needs. We examined the user ratings, documentation, and trouble shooting forums for multiple themes and ticketing apps that were available.

We found that EE4 was the only plugin that would be able to be modified for printing badges onsite using their printable ticket addon.

Team Management

The Press Factory managed our team though a detailed User Requirements form that we produced after the first meeting. This allows our designers and coders to quote jobs as accurately as possible by staying in scope of the project. New User Requirements and estimates were formed as we moved forward each time the client decided to deviate from the original projected course or added additional requirements to the project.
